Personal Assistant to Senior Director Learning, Partner

This is a part-time, position for 20 hours per week, with core hours required from Tuesday to Thursday from 1 pm to 6 pm. The remaining hours would preferably be worked on Mondays. We are very open to discussing the working schedule during the recruitment process.

Based in London, we are looking for a Personal Assistant to support the global responsibilities of the Senior Director Learning, Partner. This position requires great attention to detail, organisation, discretion and a good understanding of the gallery world. You will be well presented and personable.

The role will include, but not be limited to, the following responsibilities:

  • Support the day to day of the department:

  • Assisting the Senior Director with all day-to-day matters including management of diary, travel, organising meetings and filing systems

  • Accounting of credit card charges and expenses

  • Updating relevant cost controls, and documenting the global overview

  • Coding and processing of invoices

  • Assisting with organising meeting agendas and arranging hospitality

  • Liaising with Front Desk across all locations as regards to travel and accommodation arrangements of guests

Support excellence in the execution of our programmes:

  • Assisting the Senior Director, Learning with the planning, organisation and management of Learning Department at all locations

  • Attending meetings; where required take records or minutes, process these accordingly and monitor actions taken on decisions made

  • Preparing presentation materials, documents, and policies

  • Supporting philanthropic partnerships and relationships:

  • Managing and organising charitable partnership donations

  • Preparing partnership agreements

Required knowledge, skills and qualifications:

  • A minimum of two years experience in a relevant role, preferably the creative industries or education

  • Superior organisational skills with ability to prioritize and multitask

  • Excellent communication, written and problem solving skills

  • A minimum of two years experience in a relevant role, preferably the creative industries or education

  • Ability to work collaboratively and follow instructions

  • Ability and confidence to take initiative

  • Knowledge of and passion for modern and contemporary art

  • Professionalism, discretion and a friendly demeanour are essential

  • Exemplary IT skills, including experience of Microsoft 365

  • Knowledge of French, Spanish and or German would be advantageous
