During the trainee program you will provide support to the global publishers team and will be assigned a broad range of tasks that ensure you gain an understanding of the publication department within a large international gallery like Hauser & Wirth.Within these responsibilities you will assist in coordinating and executing book projects in Chinese, coordinate with our Hong Kong team and our Chinese publishing partners and perform daily administrative duties.

Main Tasks include but are not limited to:
• Representing Hauser & Wirth at all times, welcoming a wide spectrum of visitors and guests.
• Supervising gallery and public spaces, ensuring they are presented to the highest standards at all times.
• Responsible for opening and closing the galleries each day.
• Supervising the public to ensure their personal safety and that the artwork is respected at all times.

• Accounting of Front Desk credit card charges, expenses and invoices.
• Managing day-to-day running of the Intern and work experience programme.
• Managing Front of House team and Invigilator team.
• Monitoring general email account.

Retail
• Day to day running of the gallery shops.
• Managing biannual stocktakes.
• Supervising gallery retail spaces, ensuring they are presented to the highest standards at all times.
• Ensuring high quality of display and appropriate stock levels.
• Ensuring customers receive high standards of service and sales expertise.

The successful candidate will have:
• Minimum 2 years’ experience in a similar position
• Bachelor’s degree in a related field preferred
• Knowledge of, or enthusiasm for contemporary art
• Exceptional customer service skills, professional, friendly and a team player
• Excellent administration and IT skills (computer proficiency with Mac OS X, Microsoft Office Suite, and Google Apps for Business and willingness to learn new programmes as necessary)

Junior Database Developer (100%) 

Main responsibilities include:
• Continue developing our long-standing, bespoke in-house database.
• Document and create business processes supported by the database.
• Maintain and enhance connectivity with external solutions (e.g. digital asset management, email marketing platform).
• Manage projects connecting to the database to various systems (webapps, iOS apps, ERP systems).

Profile:

This internship will be a full-time six-month position at Hauser & Wirth Los Angeles.

During your time here, you will be assigned a broad range of tasks that ensure you gain an understanding of how a large international gallery like Hauser & Wirth Los Angeles operates. Facilities Manager

The Facilities Manager will be the single point of contact responsible for facilities management, assisting the local team with the delivery of quality facility management services and special projects. This role will administer repair and maintenance programs, implement safety programs, and ensure compliance with established standards, practices and regulatory requirements. This role will also be responsible for vendor relations and provide oversight of security and janitorial staff.

Main duties include but are not limited to:
• Responsible for the condition, care and routine maintenance of all the Gallery’s public and private spaces, ensuring that the facility is in excellent working order
• Regularly interact with and monitor, various contractors, including but not limited to: fire sprinkler and alarm, HVAC, electrical, refuse/waste management, pest control, landscaping, janitorial, security and others as required
• Schedules preventive maintenance of facility and equipment, responding to urgent maintenance calls and performing repairs as necessary
• Maintain facilities maintenance calendar and works closely with subtenants, informing key staff of facilities maintenance schedule designed to safeguard the property and occupants
• Collaborate with the Exhibitions team on exhibition construction
• Serve as primary facilities representative at after hours and weekend events and programs as needed
• Maintain department vendor files, reviewing invoices for accuracy
• Coordinate and monitor the day-to-day activities of the janitorial and security staff
• Oversee the coordination of building repairs and construction projects, facilitating access for contractors as necessary
• Oversee Gallery parking needs and responsible for negotiation of off-site parking requirements
• Oversee car maintenance and repair
• Establish equipment repair and maintenance procedures and provide instruction as necessary
• Responsible for the implementation of building emergency procedures, Gallery opening and closing plans as well as best-practice safety and security procedures
• Assist with special projects where required

Education, Experience, Skills:
• Minimum A.A. Degree. B.A. or B.S. in Facilities Engineering or related field is preferred.
• Directly related experience of 5 years in Maintenance, Facilities Engineering, or Mechanical / Building Design is required.
• Experience in dealing with matters of plant & office security is recommended.
• Familiarity with EHS (Environmental/Health/Safety) programs and policies and ability to translate these programs into facility needs is required.
• Excellent verbal and written communications skills needed to interact with all levels of the organization.
• Project management skills to coordinate and follow up on projects of significant magnitude.
• Must be able to demonstrate discretion on strictly confidential matters.
• Strong customer service skills and focus
• Ability to multi-task or work independently

Communications Intern

Reporting to the Director of Communications, we are seeking someone with the desire to become a communications professional to join the global press team, working in a highly successful and prestigious world-class organisation.

You will be principally dedicated to the Communications department, but will be called upon for general gallery assistance as necessary. You will be assigned a range of tasks that ensure you gain an understanding of how Hauser & Wirth operates, with a focus on PR and marketing.

Duties include, but are not limited to:
• Prepare and distribute press images and PR information
• Contribute to social media campaign planning
• Use InDesign to create exhibition-related printed material and information packs for artists and gallery projects
• Maintain and update press mailing lists
• Proofread quarterly magazine, online content and other written materials
• Obtain all hard copy press coverage

Retail Logistics Coordinator

We are seeking a capable and experienced logistics professional to coordinate and manage retail inventory and the fulfilment of ecommerce orders through the distribution centre at our Somerset gallery location.

Duties include, but are not limited to:
• Receive regular shipments into the Distribution Center in a timely fashion
• Manage distribution to the US DC, stores and other locations as requested by the Buying/Planning teams
• Manage the flow of inventory between Vendor and DC through partnership with all business divisions ensuring best practice, exception reporting and resolution
• Conduct routine audits of inventory levels to maintain highest levels of accuracy
• Manage and conduct quarterly stock counts of DC and HWSO retail stock
• Pick, pack and fulfill orders, and liaise with shippers in an efficient and accurate manner
• Communicate with the customer in a timely fashion concerning ecommerce order status, tracking information and returns
• Maintain an excellent working relationship with the Buying, Retail and Gallery teams

Requirements:
• Experience within a European wide logistics/ Supply Chain role
• Experience with B2C ecommerce fulfillment
• Experience working under pressure and to tight deadlines
• Able to build and maintain productive relationships with cross functional teams
• Strong analytical skills
