    We are looking for a Head of Front Desk to join our team in Los Angeles. This position requires great attention to detail, organization, diplomacy and an in-depth understanding of the gallery world. The Head of Front Desk is expected to plan, communicate and act independently and collaboratively, as projects require.

    Main Tasks
    Duties include but are not limited to:


    Front Desk

    • Manage gallery switchboard: taking messages/voicemail updates/night service
    • Responsible for opening and closing the gallery
    • Manage front desk ensuring all exhibition materials in place
    • Ensure all signage is in place
    • Supervise vitrine changes / maintenance

    Team management

    • Manage Front Desk staff
      • Assist with recruitment
      • Responsible for training
      • Ensure a rota so that all front desk positions are covered at any time
    • Manage day to day running of intern programme
      • Responsible for recruiting, training and supervision during internship
      • Liaise with internal Departments re: job allocation
    • Responsible for team of invigilators
      • Proposal on invigilator requirements
      • Scheduling, induction, supervision

    Mail / Couriers

    • Supervise incoming and outgoing mail and couriers
    • Supervise courier deliveries
    • Oversees supplier relationships including bulk mailing partners
    • Mailouts (Catalogues and books, PR, VIP): Address formatting and data merge for cover letter, print and assembly

    Gallery management

    • Database: Responsible for non-VIP and staff entry updates
    • Liaise with HWZ on ordering of all CI compliant stationery, etc.
    • Supplies:
      • Supervise supplies of Stationary and all gallery consumables
      • Responsible for all fax machines, photocopiers and coffee machines
      • Responsible for mobile phone and fixed phone line contracts plus phone maintenance and upgrades ; Checks and approves suppliers invoices
    • Organize storage
    • Assist with travel arrangements of staff as requested
    • Responsible for Art Dimensions training and general induction for new hires in collaboration with HR responsible
    • Responsible for hotel contracts

    Organise internal private views and Special Events as requested

    • Supervise the mailout of invitations
    • Coordinate with Catering and Security re: orders and payment
    • Responsibility during event set up and dismantle
    • Responsible for booking venues on selected events
    • Responsibility of RSVPs and guest list on selected events
    • Assist with any promotional and marketing events and activities

    Requirement

    • A minimum of 4 years experience in an art gallery
    • Excellent supervisory, communication and problem solving skills
    • Ability to work collaboratively
    • Knowledge of contemporary art
    • Exceptional customer service skills and friendly demeanor
    • Computer proficiency (particularly with Mac OS X, Microsoft Office Suite, and Google Apps for Business, Google Sketchup) and willingness to learn new programs as necessary
    • Excellent written and oral communication skills

    Main Tasks

    Front Desk

    • Answering phones and managing general gallery voicemail and inbox

    We are looking for a communications intern to join our team in Los Angeles. This position requires great attention to detail, organization and diplomacy.

    During your six month internship, you will be assigned a broad range of tasks that ensure you gain an understanding of how a large international gallery like Hauser & Wirth Los Angeles operates. This position will work closely with the gallery assistants and with the Communications Manager. Responsibilities could include assisting with the execution of private views and press previews, updating and managing exhibition documents, organizing events and sending mail outs in addition to daily administrative duties.

    An ideal candidate for this internship is required to be fluent in English, have excellent communication skills (verbal and written), experience in proofreading and editing, strong research skills and be organized with an ability to prioritize. A successful candidate will be an energetic self-starter with a poised and friendly demeanor. An interest in art and the art world is key. Familiarity with Mac OS is a must as well as proficiency with InDesign and all Adobe CS6 and programs.

    Job Profile

    Main Tasks include oversight of all educational and community outreach programs.
    Responsibilities include but are not limited to:

    • Coordinate and oversee all community outreach initiatives including partnerships with schools and colleges, internship programs, public tours and family programming
    • Liaise with local schools and colleges, as well as other organizations based within the community, to establish and maintain relationships and actively promote HWLA
    • Establish a local, national and international network of useful and productive education partnerships that could result in collaborative projects and events; research and review educational programs to stay current in the field; collate, analyze and apply feedback on the educational activities provided

    • Lead and design tours of exhibitions, using both formal and informal teaching, to a broad spectrum of groups

    • Manage and develop relationships with freelance education practitioners and ensure that they receive appropriate training and are kept up to date with HWLA news and exhibition program

    Main responsibilities:

    As Database Developer:

    • Continue developing our long-standing, bespoke in-house 4D database to our needs.
    • Document the business processes supported by the 4D database.
    • Maintain and enhance connectivity with external solutions (e.g. digital asset management, email marketing platform).
    • Support and help train our employees

    As Project Manager:

    • Manage projects connecting to the 4D database to various systems (webapps, iOS apps, ERP systems)

    Profile:

    • Experience developing in an IDE with languages such as Visual Basic (VBA), Pascal, or C and with relational databases (e.g. MySQL).
